Submission Deadlines for Request Documentation

Deadlines for the submission of LAOF request documentation differ depending on the complexity of a campaign and are strictly enforced. 

Large Campaigns

There is only one target date per year for submission of the required documentation for a large field campaign. Experiment Design Overview (EDO) and Scientific Program Overview (SPO) documents are due on 15 January - two years ahead of the fiscal year in which the project will be carried out (referred to as FY-2). If the EDO and SPO have received favorable consideration by NSF, the PI will be encouraged by the appropriate NSF Program Officer to submit the facility requests associated with the field program the following summer. The deadline for submitting facility requests is 15 August FY-2. Please note that before submitting any EDO and SPO, a mandatory Letter of Interest has to be submitted to NCAR/EOL and NSF by 15 September FY-3. Also note that preliminary cost estimates for the envisioned facilities have to be requested from the LAOF Partner Organizations by no later than 15 November FY-2 (i.e., two months before the EDO/SPO submission deadline). Due dates for receipt of documentation are as follows:

  • 15 September FY-3: Submit mandatory Letter of Interest to NSF LAOF Program Director and LAOF request Coordinator
  • 15 November FY-2: Request for Preliminary Cost Estimates
  • 15 January FY-2: Submit SPO to NSF via Fastlane
  • 15 January FY-2: Submit EDO to NSF LAOF Program Director, cognizant NSF Program Officer, and to PRESTO
  • 15 August FY-2: Submit Facility Requests and associated material to relevant Facility Providers, and to PRESTO
  • August FY-2: Submit scientific grant proposals to NSF via Fastlane

Example: If the deployment phase will take place between 1 October 2021 and September 20222 (FY22), the deadline for the Letter of Interest is 15 September 2019; the deadline for requesting preliminary cost estimates is 15 November 2019; the deadline for submitting the EDO and SPO is 15 January 2020; and the deadline for submitting the individual facility requests is 15 August 2020.

 

Small Campaigns

For small projects, NSF facilities can be requested twice annually, between 15 and 20 months prior to the actual field deployment. Please note that a mandatory Letter of Interest has to be submitted to NCAR/EOL and NSF four months ahead of the submission of a facility request. The request cycle allows for about six months to produce feasibilities and cost estimates and review the project at the OFAP. Once an NSF funding decision has been reached, the PI has at least eight months to implement project preparations.   • 1 March FY-2: Submission of mandatory Letter of Interest to NSF LAOF Program Director and LAOF Request Coordinator
  • 1 July FY-2: Submission of Facility Request via PRESTO
  • July/August FY-2: Submission of the scientific grant proposal to NSF via Fastlane
  • 31 August FY-2: Sharing of the scientific grant proposal (or equivalent) with LAOF Request Coordinator

 

Field campaign start date between 1 April and 30 September in FY0

  • 15 September FY-2: Submit mandatory Letter of Interest to NSF LAOF Program Director and LAOF Request Coordinator
  • 1 December FY-1: Submit Facility Request via PRESTO
  • January/February FY-1: Submit the scientific grant proposal to NSF via Fastlane
  • 28 February FY-1: Share the scientific grant proposal (or equivalent) with LAOF Request Coordinator

Example: If requests for use of a facility between 1 April and 30 September 2019 (FY19) will be due on 1 December 2017 (FY18); use of a facility between 1 October 2019 and 31 March 2020 (FY20) will be due on 1 July 2018 (FY17).

 

Educational Deployments

Facilities for use in educational deployments can be requested throughout the year, however, requests should be submitted at least four and no more than six months ahead of the start of the course work associated with the intended deployment. This will allow for sufficient time for an instructor to properly integrate the instrument deployment activities into their course material. Please note that educational deployments require the submission of a final report one month after the completion of the campaign.
