EOL Non-NSF Proposal Submission Timeline


3 weeks (at least or sooner if possible) before the proposal mailing date:
Work with Facility Administrator to develop timeline, budget, and advance notice. A draft of the Advance Notice and draft budget are due to the ATD Director's office 3 weeks prior to the proposal deadline.

2 weeks before the proposal mailing date: 
The Advance Notice Form is due to the NCAR Director’s Office including answers to the 5 criteria, a brief abstract, a current and pending form, and a draft budget.  The Division Director and Division Administrator sign off on the advance notice form.  Please work with your Facility Administrator.

2 weeks before the proposal mailing date:
A draft of the proposal, along with the internal Review Form, is distributed to: 2 approved ATD staff reviewers.  Let your Division Administrator know who the reviewers are.  Reviews should briefly address the quality of the proposal.  (Problem areas should be addressed directly with the proposal P.I.)  Completed forms are returned to the Division Administrator for signature.

1 week before the proposal mailing date:
The final proposal, including budgets, agency forms and agency representations and certifications, is given to the Director’s Office with a proposal transmittal memo (prepared by your Facility Administrator) giving Budget & Planning information and instructions for the transmittal letter (and how many copies are needed.)

2 days before the proposal mailing date:
The proposal is completed with an authorization letter and institutional representative signatures on cover pages, forms, etc.  The proposal is then copied and sent via FedEx to the agency by Facility Administrators, with copies to Division Administrator, or submitted electronically as required by the funding agency.

NSF FastLane Proposals:
FastLane proposals follow the same schedule with the exception that they are submitted via FastLane instead of mailed.

Note:  An Exception to Policy Memo is required (addressed to the NCAR Director’s Office, signed by the ATD Division Director) if the Advance Notice Form is not received by the NCAR Director’s Office at least 2 weeks prior to the proposal due date.
